Free School Admin Tools and Templates to Use This Term

Free tools and template checklists for Kenyan school administrators: build a timetable, check fee collection, and set up registers and fee structures.

By

Term time leaves little room for building admin tools from scratch. These are the jobs that come back every term, with a free tool or a simple checklist for each.

Free tools you can use today

Timetable maker

The free school timetable maker lets you add classes, subjects, teachers and rooms, then place lessons while it warns you about teacher and room clashes. Print one timetable per class and one per teacher, and save as PDF. You can try it without an account.

Fee collection health check

The fee collection health check takes your learner numbers, average fee and what you have collected. It returns a score, shows what small improvements are worth, and lists the three things to fix first.

More tools are planned. See all of them on the free tools page.

Checklists for the paper jobs

Some jobs are still done on paper. Use these to make the paper version useful.

Class register

  • Learner name and admission number
  • One column per school day
  • Space to mark present, absent or late, and a reason for absence
  • A weekly total so patterns are easy to see

Fee structure

  • A row for each charge, such as tuition, activity, transport and meals
  • The class or level it applies to
  • The amount, the term and the due date
  • Which items are optional

Fee statement

  • Learner name, admission number and class
  • Charges, payments received with dates and the balance
  • How to pay, including the paybill and the account reference to use

From templates to a system

Templates help, but copying data between sheets is where mistakes creep in. When you are ready to stop retyping, read how to move from paper and Excel to school software in 30 days, or see the features to look for in a school management system.

Frequently asked questions

What free tools can a school administrator use?

DiraSchool offers a free timetable maker and a free fee collection health check. Both work in your browser without an account.

Do I need an account to use the free tools?

No. You can build and see your results first. We ask for your email only when you download a PDF or save your work.

Where is my school's data stored when I use a free tool?

Your entries stay in your own browser. They are not sent to us unless you create an account and choose to import them.

What should a good fee structure template include?

A line for each charge, the class or level it applies to, the term, the amount and the due date. Add a column for optional items such as transport or meals so parents can see exactly what they are paying for.
