"How much does it cost?" is the first question most school owners ask and the hardest to answer in a search result. Prices depend on the provider, the size of your school and what you switch on. Anyone quoting one number for every school is simplifying.
What you can do is understand what drives the cost, so you can compare quotes fairly.
The common pricing models
Per learner
You pay a set amount per learner, per term or per year. This is simple, and the bill grows as you grow. It suits small schools but can become expensive for large ones. Check whether the count includes all enrolled learners or only active ones.
Flat fee per school
One price regardless of size, sometimes with a limit. Predictable, and often good value for larger schools.
Tiered plans
Packages by size or feature set (for example Basic, Standard, Premium). Read what is actually in each tier. Features you need most, such as M-Pesa or the parent portal, are sometimes held back for higher plans.
One-off licence
Pay once, use for years. This was common for installed software. Ask about updates, support and what happens when the software ages.
Free or trial periods
See our guide to free school management systems in Kenya for what "free" usually includes.
Many providers offer a free start. That is a good way to test with real data, but ask what the pricing will be afterwards, in writing.
What else affects the price
- Modules: fees and report cards may be included while payroll, transport or library are extra.
- Users: some products charge per staff account. Others include unlimited users.
- Parent accounts: confirm whether the parent portal is included or billed separately.
- SMS: messages to parents usually cost the provider money, so credits are often separate.
- Support level: email-only versus phone and on-site help.
- Customisation: custom report card layouts or integrations may be charged.
Hidden costs to ask about
Before agreeing to a quote, ask directly:
- Is there a setup or onboarding fee?
- Is data migration (importing our learners and balances) included?
- Is staff training included, and for how long?
- Are parent accounts and the parent portal included?
- Are there SMS or M-Pesa charges on top of the subscription?
- What does support cover, and through which channels?
- Can we export all our data if we leave, and is it free?
- Will the price change after the first year?

Compare the true cost, not the headline
A cheaper-looking quote can cost more over a year. Compare on the same basis:
| Cost item | Provider A | Provider B |
|---|---|---|
| Subscription per year | ||
| Setup / migration | ||
| Training | ||
| Parent portal | ||
| SMS | ||
| Extra modules you need | ||
| Total in year one |
Then add the cost you are trying to reduce.
Count the cost of not switching
The right comparison is not "software versus nothing". It is "software versus the way we work now". Add up, honestly:
- Staff hours spent on fee records, report cards and registers each term
- Fees you cannot collect because balances were unclear
- Errors that had to be corrected
- Time spent answering calls from parents about balances and results
If the bursar spends several days every term reconciling payments by hand, that time has a real cost. Our article on Excel versus a school management system shows how to measure it.
Red flags
- A price that is "available only in a meeting" but no written quote follows
- No clear statement of what is included
- Pressure to sign immediately
- No answer on data export
- A provider who cannot show the product working with your data

Frequently asked questions
How much does school management software cost in Kenya?
It varies widely by provider, school size and features. Instead of trusting a single figure, ask each provider for a written quote that lists exactly what is included, and compare the total yearly cost.
What are common pricing models for school software?
The usual models are a charge per learner, a flat fee per school, tiered plans by size or features, and one-off setup fees. Some providers also charge for add-on modules or SMS.
Are there hidden costs in school software?
Common ones are setup and data-migration fees, training, extra charges for parent accounts or modules, SMS credits, support beyond a limited period, and fees to export your data.
Is free school management software worth it?
Free tools can be a good way to start, but check how the provider makes money, what happens to your data, what support you get, and whether there is a clear path as you grow.
